Mission Description 

Main Mission:

To provide strategic, administrative, organizational, and logistical support to the Human Resources Director by ensuring the smooth and efficient operation of the Directorate’s activities, managing the interface between the HR Director and internal and external stakeholders, and ensuring the absolute confidentiality of processed information.

• Ensure the physical and digital archiving of files according to current procedures;
• Guarantee the security and confidentiality of sensitive documents (disciplinary, payroll, medical, personal data);
• Liaise with the General Management’s Mail Office;

• Calendar Management and Coordination
• Manage and monitor the HR Director’s calendar rigorously and proactively;
• Plan, organize, and coordinate meetings, hearings, videoconferences, and appointments;
• Prepare the files, materials, and documents required for meetings;
• Draft and distribute agendas, minutes, summaries of decisions, and internal circulars to the department;
• Ensure follow-up on commitments and actions decided upon during meetings;

• Institutional Communication and Bilingualism
• Greet, guide, and inform visitors and contacts of the Department;

• Translate or format bilingual documents (FR/EN) at the HR Director’s request;
• Facilitate the flow of information between the HR Department, other departments, and partners;

• Support for strategic HR activities
• Assist the HR Director in preparing presentations for the Executive Committee, monthly HR reports, and summary notes;
• Contribute to the administrative follow-up of disciplinary procedures, recruitment and training files;
• Coordinate the logistics of HR events (HR Unity Day, seminars, Joint Committees, PROMOTE, etc.);
• Follow up with those responsible for CNPS and MINTSS files and correspondence with official bodies;

• Logistics and resource management
• Organize missions, travel, and routes for HR staff (reservations, documents, expense reports, etc.);
• Ensure the regular supply of equipment and administrative supplies;
• Provide functional supervision to support staff (driver, clerk) if necessary.

 
Profile 

:  Hold a two-year post-secondary degree (BAC+2) in Human Resources Management or any equivalent recognized diploma and/or training in Executive Assistance;

 Have at least five (5) years of experience in an executive assistant position, including a minimum of two (2) years in a Human Resources Department;

 Training in Executive Assistance and experience in an industrial group or an international group with a matrix organization is an asset.
