Main responsibilities
• Reception & guidance: Warm welcome; guidance to the correct service; monitoring of the waiting room and immediate alert of the nurse in case of emergency; calm and professional telephone response.
• Confidentiality: Strict protection of privacy; do not share patient information outside the care team.
• Patient registration (electronic medical system): Register all patients; correctly enter data and reason; check the registration before taking parameters.
• Appointments, reminders & follow-up after care: Schedule appointments; send reminders (call/WhatsApp); follow up after care and report any urgent cases to the General Supervisor (GS).
• Billing, cash collection & cash handover: Prepare detailed invoices; verify that all care is included; collect payments (cash/Mobile Money/Orange Money); issue receipts; record payments; hand over cash, supporting documents and Daily Cash Report; and immediately report refusal to pay/serious complaint/suspicion of fraud.
• External communication & clinic image: Respond to WhatsApp/social media messages politely; publish promotional content daily (with permission); contribute to official page content; write and distribute messages; maintain a clean appearance and a calm tone.
• Insurance files: Transmit completed insurance files/invoices; maintain daily follow-up of insured patients and their status; report missing documents and recurring problems; respect internal deadlines.
• Professional conduct, ethics & integrity: Remain respectful and calm; zero tolerance for extra money or absence of receipt; never falsify invoices or manipulate stock; immediately report any risk (invoicing/stock/suspicion of theft/damage to image).
Expected results
• Professional, reassuring and confidential reception from the moment the patient enters.
• Clean, quiet and safe waiting room; emergencies reported quickly.
• Patients properly registered; appointments well organized; patient follow-up carried out on time.
• Accurate and complete invoices; payments collected properly with Daily Cash Report.
• Complete insurance files, with invoices and supporting documents available.
Desired profile (qualifications & skills)
• Good command of computer tools (data entry, email, MS Office) and ability to quickly learn an electronic medical system.
• Training in the health field and/or prior experience in a medical setting is an asset
• Excellent communication and customer service skills; good telephone etiquette.
Honesty , rigor, attention to detail; ability to manage the cash register responsibly.
Strict respect for confidentiality and ethics; team spirit; ability to work under pressure.
• French-English bilingualism: an important asset.
