2. JOB OVERVIEW
CHAI Cameroon is seeking a detail-oriented finance professional to provide additional financial support for a project involving large-scale training activities and high-volume payments.
The Temporary Project Finance Assistant will report to the Finance Lead and work closely with the Programme team to process, document, and reconcile project payments in accordance with CHAI policies, donor requirements, and internal control procedures.
This is a three-month, project-funded, fixed-term position.
3. KEY RESPONSIBILITIES
A. Participant and Project Payments
- Review participant lists, attendance records, and supporting documents to ensure completeness, accuracy, and eligibility before payment.
- Prepare and process payments to training participants and other beneficiaries after obtaining the necessary approvals and documentation.
- Track failed, returned, and outstanding payments and follow up until they are resolved.
B. Payment Tracking and Reconciliation
- Maintain project payment trackers and monitor expenditure against the approved budget.
- Reconcile participant payment lists and project transactions against actual payments and resolve outstanding discrepancies.
- Ensure expenses are correctly coded to the relevant grant, budget line, and activity.
- Support cash requests, financial forecasts for upcoming activities, and month-end closing processes.
- Provide regular updates on payments processed, pending transactions, and missing documentation.
C. Financial Controls and Documentation
- Ensure all transactions comply with CHAI’s financial policies and approval requirements.
- Report errors, potential duplicate payments, unusual transactions, and control concerns to the Finance Lead.
- Maintain complete, audit-ready electronic and physical payment records for each training session and project activity.
- Support responses to audit requests and donor queries.
4. QUALIFICATIONS AND EXPERIENCE
Applicants must meet the following requirements:
- Bachelor’s degree in Finance, Accounting, Business Administration, Economics, or a related field.
- At least one (1) year of experience in finance or accounting.
- Experience working with NGOs or donor-funded projects is an advantage.
- Strong Microsoft Excel skills, including working with large datasets and payment trackers.
- Sound understanding of basic accounting principles, supporting documentation, and internal controls.
- Excellent attention to detail and organisational skills, with the ability to meet tight deadlines during intensive training periods.
- Professional proficiency in both French and English.
- High integrity and discretion when handling financial information.
