Role Description
This is a full-time on-site role located in Douala I for a Receptionist. The Receptionist is the first point of contact for guests and plays a crucial role in ensuring a positive experience during our guests’ stay. The Receptionist welcomes guests as they arrive at the hotel and ensures that their journey has gone smoothly. He/she presents the various services offered by the hotel and accompanies guests to their rooms. He/she will then be available to help them make the most of their stay. The Receptionist is also responsible for checking reservations and invoices. When guests leave, he/she ensures that their stay has gone smoothly, and proceeds to check-in and check-out.
Main Activities
Warmly welcome guests on arrival and provide a professional and friendly check-in/check-out experience.
Answering guests’ questions about hotel services, facilities, local attractions and itineraries.
Handle guest complaints or concerns in a prompt and professional manner, escalating issues to management if necessary.
Handle room bookings, cancellations and amendments by telephone, email or in person.
Ensure that guest information is correctly entered into the hotel’s reservation system.
Coordinate with housekeeping and maintenance teams to ensure rooms are ready for guests.
Process payments, issue invoices and keep accurate records of transactions.
Communicate special requests or VIP arrivals to the relevant department.
Handle and resolve customer issues such as room changes, billing discrepancies or special requests.
Remain calm and professional in high-pressure situations.
Promote the hotel’s services, facilities and special offers to enhance the guest experience.
Sell higher quality rooms, catering options or additional services where appropriate.
Qualifications
Knowledge in Phone Etiquette and Receptionist Duties
Proficiency in Clerical Skills and basic office management
Strong Communication and Customer Service abilities
Excellent interpersonal skills and professional demeanor
Ability to multitask and work under pressure
Previous experience in the hospitality industry is a plus
High National Diploma or equivalent in hotel and catering, hotel management; additional qualifications in office management are an asset
