(01) EXECUTIVE ASSISTANT
Assist the General Manager in the daily management of his activities while ensuring the coordination and support of the group’s internal and external communication actions. ACTIVITIES:
ADMINISTRATIVE SUPPORT:
• Manage the General Manager’s agenda, organize appointments and travel (proactive management of agenda conflicts).
• Ensure the management of incoming and outgoing calls, letters and emails from the CEO. • Prepare, organize and coordinate meetings (agenda, invitations, minutes, monitoring of decisions). • Design and format documents (presentations, reports, notes, speeches). Follow up on the CEO’s priority files and ensure their proper execution. • Ensure an effective interface between the CEO, the various departments and support teams. Guarantee the confidentiality of the information processed. Coordinate with the PCA Assistants to harmonize communications and the planning of common activities. CORPORATE COMMUNICATION: Develop internal communication materials (memos, newsletters, memos). Contribute to the implementation of the group’s communication strategy. • Write the CEO’s official messages (emails, speeches, announcements). Ensure, with the Community Manager, the updating and very large-scale distribution of content on communication channels (website, social networks, intranet). Supervise the dissemination of important information internally. • Collaborate with the communication teams for internal and external campaigns. Manage relationships with communication providers in relation to the Supply Chain department (agencies, printers, media). Ensure smooth communication with the Chairman of the Board and his assistants, relaying relevant information between the CEO and the Chairman of the Board while maintaining confidentiality. SPECIAL PROJECT COORDINATION: • Organize and coordinate internal events (seminars, strategic meetings, training). • Prepare presentation documents for meetings and events. • Participate in the planning and monitoring of cross-functional projects assigned by the CEO. Coordinate reporting activities and ensure that deadlines are met. MANAGEMENT OF INTERNAL AND EXTERNAL RELATIONS: • Ensure a smooth link between the CEO and the group’s various teams. • Manage relationships with partners and external stakeholders. • Welcome the CEO’s visitors and partners with professionalism.
• Coordinate communications between the CEO, members of the board of directors and the Chairman of the Board.
SKILLS AND EXPERIENCE
• Education: Bac +3 minimum in Corporate Communication, Administration, Management or any other relevant field. A specialization in Institutional Communication would be an asset
• Experience: Minimum 5 years of experience as an Executive Assistant with a solid practice in Corporate Communication. Proven experience in a multinational environment or in an industrial group. Experience in managing communication projects is an asset.
• Bilingual: English and French (Perfect fluency: reading, speaking, writing).
• Driving license: B
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). — Excellent writing skills in French and English (bilingual).
Proficiency in digital communication tools (social networks, CMS, graphic design tools).
Knowledge of internal and external communication techniques. Project management skills.
