General Mission
The Executive Assistant plays a central role in providing administrative,
organizational, and operational support to the General Management. They ensure the smooth running
of day-to-day operations, facilitate internal and external communication, and coordinate
administrative activities to allow the General Management to focus on
the company’s strategic direction.
Operational Responsibilities
1. Administrative and Organizational Management
➢ Manage incoming and outgoing mail (receiving, drafting, and follow-up).
➢ Organize and coordinate General Management meetings
(logistical preparation, drafting minutes).
➢ Prepare, archive, and follow up on supplier and buyer administrative files
.
➢ Provide in-person and telephone reception for partners, visitors, and
colleagues.
2. Operational Support
▪ Conduct research and make proposals for the rental or acquisition
of office and warehouse space.
• Contribute to the establishment and monitoring of the
company’s fleet of vehicles and trucks.
• Support recruitment activities (posting job advertisements, tracking
applications, organizing interviews).
• Participate in the management of business travel: planning,
allowances, disbursements, preparation and monitoring of travel orders.
3. Internal and External Communication
• Ensure the transmission and follow-up of instructions from Senior Management
to the relevant departments.
• Maintain smooth and professional communication with
institutional and commercial partners.
4. Other Responsibilities
• Perform any other task related to their role and assigned by
Senior Management.

EXECUTIVE ASSISTANT
Required Skills and Qualities
1. Technical Skills
▪ Strong knowledge of administrative management and
business organization.
▪ Proficiency in office software (Word, Excel, PowerPoint, email
, administrative management software).
▪ Ability to manage multiple files simultaneously with rigor and
method.
▪ Excellent written and oral communication skills.
2. Personal Qualities
▪ Rigor, organizational skills, and reliability.
▪ Discretion and respect for confidentiality.
▪ Proactivity and autonomy in task execution.
▪ Strong interpersonal skills and ability to work effectively in a team.
▪ Adaptability and responsiveness to unforeseen circumstances.
Education and Experience
▪ Higher education in management, executive secretarial studies, administration,
or equivalent (minimum Bachelor’s degree).
▪ Proven professional experience (at least 3 years) in a
similar role, preferably within a structured organization.
▪ Proficiency in English (or any other relevant foreign language)
is an asset.
