EXECUTIVE SECRETARY/ASSISTANT KEY
ACTIVITIES
ACADEMIC LEVEL AND EXPERIENCE
REQUIRED EXPERIENCE
β’ Manage the reception and document flow for Management (letters, emails, files, reports, etc.); β’ Organize and prioritize the supervisor’s schedule according to operational and strategic issues; β’ Draft and manage administrative documents, ensuring their filing, traceability, confidentiality (routine correspondence, meeting minutes, activity reports, etc.) and archiving; β’
Ensure professional communication with all internal and external stakeholders;
β’ Use office tools effectively and rigorously apply internal procedures; Organize travel (registrations, various reservations, accommodations, transportation, etc.);
β’
Manage service providers (analyze bids, issue purchase orders, monitor payments, etc.);
β’ Handle unforeseen events with responsiveness and professionalism;
β’ Ensure the confidentiality of processed information;
β’ Provide support on cross-functional tasks as needed by Management (internal communication, organization of internal events, liaison with partners).
A minimum of a Bachelor’s degree (BAC+3) in Executive Secretarial Studies/Administrative Assistance, Administration, Filing, Management, or related fields is required (a Bachelor’s degree in Executive Secretarial Studies is strongly recommended).
A minimum of three (3) years of experience in a similar position would be an asset.

β’ Proficiency in Microsoft Office suite and ability to use document management and collaboration tools (Teams/SharePoint or equivalent);
