As part of its continuous improvement approach in the search for efficiency and
quality staff, ONE SA HOLDINGS is recruiting a confirmed Executive Assistant to optimize the organization and monitoring of its strategic activities with Top Management. This key position guarantees efficiency and coordination of the missions essential to its success. Your Missions You provide comprehensive assistance, both on an executive and personal level, to top management. You play a facilitator role in a demanding professional environment: Administrative and organizational management • Provide full assistance to a high-level manager exposed to high stakes; • Write, process and translate into French, English and Arabic, documents, physical and electronic mail, minutes of technical meetings, production and operating reports, internal and external correspondence related to mining activity and regulatory authorities; • Organize and coordinate meetings: convening, preparation of files, follow-up of reports and act as an interpreter if necessary; • Organize the Manager’s agenda by optimizing priorities and emergencies, including all travel; • Be the privileged interface with the various internal and external contacts; • Classify, digitize and archive production documents, safety data, and regulatory documents; • Contribute to the continuous improvement of working tools and methods and monitor dashboards and analyze performance indicators; Coordination and monitoring of files • Guarantee the monitoring of decisions and strategic actions while respecting deadlines; • Provide support to cross-functional projects requiring rigor and discretion; • Carry out analyses and syntheses of information to inform decision-making ; • Create and update regulatory files (operating authorization, compliance reports); • Prepare strategic files, carry out relevant research and analyses; • Organize reminders and monitor internal and external deadlines;
Relationship management and internal communication • Fluent professional communication in the three languages with local and international
contacts ; • Simultaneous translation in meetings (if required) or intercultural adaptation of messages; • Manage telephone communications (physical and telephone reception) and emails in the three working languages; • Act as an interface and facilitate communication between top management, teams and external contacts, ensuring smooth and efficient transmission of information; • Guarantee effective relay of strategic information; • Contribute to the organization of institutional events and internal communication ; Confidentiality and administrative rigor • Ensure the management and circulation of information, guaranteeing their confidentiality; • Process sensitive information and data related to the company’s security; • Apply internal procedures specific to the mining sector (QHSE standards, ISO, etc.); • Guarantee the reliability of administrative information transmitted to management or authorities; • Manage confidential documents: financial results, investment plans, HR, commercial or industrial security data; • Be a guarantor of discretion in the processing of strategic or restructuring decisions; • Participate in compliance with internal procedures and QHSE standards; Training • Bac+4/5 Management Sciences and related fields; Bilingual or trilingual executive assistant; Experience: 5 to 10 in a similar position; Required Skills • Fluent (spoken and written) (French-English-Arabic); • Excellent written and oral communication skills in working languages; • Excellent presentation, sense of protocol; • Dynamism, autonomy, responsiveness; • Ability to work in an organized manner and manage priorities in a multilingual environment; • Excellent organization, rigor, versatility and flexibility; • Solid experience of the function in a demanding environment; • Mastery of IT tools – Pack Office office software and communication tools ; • Discretion and respect for the confidentiality of professional information;
