Job description:
As a management assistant From the Chief Executive Officer (CEO), you will be responsible for providing
high-level administrative and organizational support to the CEO and the company’s management team. You will play a crucial role in managing the day-to-day activities of the CEO’s office, ensuring operations run efficiently and seamlessly. Primary Responsibilities: β’ Diary Management: Plan and organize meetings, appointments and CEO trips. Coordinate internal and external events involving the CEO, ensuring all stakeholders are informed and prepared. β’ Communication: Manage CEO phone calls, emails and correspondence. Ensure smooth communication between the CEO and other departments of the company, as well as with external partners. β’ Document preparation: Prepare and review documents, reports, memos, presentations and other materials necessary for the CEO. Ensure the accuracy and confidentiality of the information contained in these documents. β’ Records Management: Organize and maintain the CEO’s files and archives, ensuring easy and secure access to relevant information. Computerize record keeping β’ Travel management: Arrange CEO travel, including booking flights, hotels and transportation, and provide logistical support during travel. β’ Administrative support: Provide general administrative support to the CEO, such as managing expenses, preparing expense reports , managing office supplies, writing meeting reports etc. β’ Project coordination: Assist the CEO in coordinating and monitoring special projects or strategic initiatives of the company. Training and experience: β’ Holder of a Bac+2 in Management Assistantship β’ With a minimum experience of at least 5 years in the field β’ Be comfortable with figures β’ Be perfectly bilingual β’ Relational skills β’ Prior knowledge of the sector of the company’s activity is an asset. Required Skills: β’ Excellent organizational skills and ability to manage multiple tasks simultaneously.
β’ Strong written and verbal communication skills.
β’ Mastery of IT tools and office software (Office Pack, electronic diary management, etc.).
β’ Strong attention to detail and ability to work independently.
β’ Ability to maintain confidentiality of sensitive information.
β’ Ability to work effectively under pressure, with flexibility in scheduling and meeting deadlines.
