two (2): EXECUTIVE ASSISTANTS (Male/Female).
The Executive Assistant contributes to the General Manager’s tasks and missions to improve the organization of their activities.
They serve as the primary point of contact, both upstream and downstream, between the General Manager and various internal and external stakeholders.
ACTIVITIES:
Executive secretarial and personal assistance to the General Manager:
Organize the General Manager’s schedules and travel:
– Manage their calendar and travel: schedule appointments based on priorities;
• Remind them of important information and relay messages;
Take notes and format all types of correspondence;
Enter data into documents of various formats and content;
Organize the filing and archiving of documents;
Plan and organize meetings and events (committees, seminars, etc.): draft minutes, monitor decisions and the execution of assigned actions, prepare materials, and ensure logistics;
Guarantee the efficient operation of the CEO’s activities and contribute to the organization of internal operations, acting as a resource and advisor on company practices and procedures; Manage information (senior management contacts, databases, mailing lists, documentation, etc.) and facilitate access to it.
File management and monitoring:
Collect the information necessary for monitoring files to support decision-making and management:
Design dashboards and/or monitoring tables;
• Prepare and monitor the CEO’s files (memos, summaries, preparation of administrative documents, etc.);
• Coordinate the resources (human, administrative, logistical, and technical) necessary to achieve the assigned objectives;
• Participate in the management of the General Directorate’s budget (preparation, execution, monitoring);
ACTIVITIES:
Internal and external communication;
• Manage certain internal communication activities and ensure the proper dissemination of information;
• Design, update, and distribute the various communication tools/materials for the CEO (website, intranet, newsletter, etc.);
• Design and implement a filing system to facilitate retrieval.
Supervision/coordination:
– Carry out and coordinate specific operations for all or part of a project delegated by their manager;
Manage expense reports;
Monitor the schedule of ongoing projects;
– Liaise with other Group entities;
• Liaise with service providers, clients, etc.;
• Liaise with existing teams;
• Coordinate headquarters activities with express delegation of authority;
• Organize, coordinate, supervise, and monitor the activities of employees under their responsibility.
Other activities:
– Manage general cash receipts and expenses.
TECHNICAL SKILLS:
• Proficiency in secretarial and office software;
• Comfortable working with numbers
• Bilingual •
Ability to implement synthesis techniques (writing and analytical skills), as well as reporting (ability to provide updates) and activity monitoring;
Ability to implement project management approaches and tools (planning, coordination, etc.); Ability to anticipate one’s own deadlines and those of one’s supervisor;
• Ability to understand emergencies and prioritize tasks;
Mastery of written and oral communication techniques.
PROFILE
• Academic level: BTS (Advanced Vocational Diploma) in Secretarial Studies/Office Administration, Bachelor’s degree in Literature or Languages, Accounting, or other equivalent (Bachelor’s + 3 years);
• Additional training and/or qualifications (an asset): Secretarial and office administration training, accounting training;
• Professional experience: 5 years;
– Maximum age: 40.
